Exhibit at Annual Conference 2024

 

We are returning to 133 Houndsditch, and will have wide array of separate branding opportunities on offer. We are expecting approximately 450 delegates, and it promises to be a fantastic event.


The important bits (ahead of the conference)

  • There is must-read information throughout so please read through the whole document. 
  • Notify CFG if either of your exhibitor pass holders would like to attend any conference sessions or if you require additional tickets 
  • Please do make use of the Exhibitor Engagement Pack to help promote the event and your presence at the conference which can be downloaded here.
  • Exhibitors are limited to 2 staff members at any one time, this is due to venue capacity and health and safety  

 

Quick glance information 

  • CFG Annual Conference 2024 will be held in the 133 Liverpool St, London EC3A 7BX 
  • Stand set-up time is from 07:00 – 08:00 on the day and dismantle time is from 16:10 – 16:55 
  • Alternatively, exhibitors are able to assemble their stands on the evening before the event, which CFG strongly recommends. More information about timing will be released closer to the event
  • There is limited storage space at the venue. One medium-sized box can be stored in a storage cupboard, but all other boxes and materials will need to be stored under your table.   

 

Your exhibition package includes 

  • Stand space: 3m wide x 2m deep x 2.9m high
  • Table space:130cm (L) x 72cm (H) x 60cm (W) 
  • Up to a maximum of 2 staff on your stand at any one time. Pass holders are very welcome to attend any conference sessions during the day if there is enough capacity. Additional tickets are available at the CFG Exhibitor rate and can be booked by emailing us. Exhibitor tickets are available at £449, compared to the full corporate member rate of £517. For non-members, exhibitor tickets are available at £561, compared to the full rate of £952. 
  • Complimentary tea, coffee & lunch for the 2 exhibitor pass holders. Catering throughout the day will be in the same areas as the exhibition, ensuring delegates will be near your stand during all breakout times.
  • Opportunity to join all exhibitors at the drinks reception after the conference. 
  • Logo and listing on the CFG Annual Conference App. 

 

 

CFG Privacy Policy – Contacting delegates 

CFG cannot share delegate contact details with exhibitors, but the Whova app will have a delegate list with names and organisations. You will be able to use the app to collect leads, and more information on this will be available closer to the event date. 

No delegate lists for this event can be shared before the event, but we can share delegate lists after the event. Please note that this list is not to be used for marketing purposes. CFG will under no circumstances be able to share a delegate list which includes delegate contact details. Should you find other means of contacting delegates you cannot make any special offers on the basis that they are CFG members, unless the offer has been agreed with CFG.  

 

Advertising 

We will include all exhibitors’ names and logos on the CFG Annual Conference App.  

There is an option at cost to include items in the CFG welcome package. All items will need to be sent by the exhibitor to the CFG offices by 20 June. If you want to find out more about this option, please email corporate@cfg.org.uk 

 

Delegate pack 

CFG has continued to go paperless with its delegate pack for the 2024 Annual Conference, to combat wasted paper and to help delegates engage with the day. Instead, we will use the previous event app for all speakers, programme, exhibitor and sponsor information. 

 

CFG App 

CFG will be using the Whova app again at this year’s Conference. Once you have the app (you can use the links below), search for "CFG Annual Conference 2024" and the event should appear. 

All exhibitors will be listed in alphabetical order and each listing can feature the following information for your online profile:  

  • JPEG logo  
  • Name and email address of lead contact  
  • 30-50 word Company profile  
  • Website link 
  • Twitter, Facebook, Linkedin  
  • Please complete your online booth no later than 20th June
         

Floorplan

The Annual Conference floorplan will be available on the Whova app. The corresponding exhibitor numbers can be found here. The floorplan in the app will then be able to show you where your stand is situated within the venue.    

 

Deliveries – Please see attached document 

Delivery & collection of stands/boxes/papers to the conference venue is the sole responsibility of the exhibitor.   

Deliveries should arrive at the venue no earlier than Wednesday 26 June. Deliveries should be made between 08:00 and 19:00. Please print off and use the attached delivery and collection note on your boxes. If you are not the person attending the conference please ensure those attending have the courier details as well as information on what packages have been delivered. 

All collections should be arranged no later than Friday 28 June.  

Neither the venue nor CFG will be responsible for any item sent by post or courier that gets lost or damaged.   

 

Exhibition space 

Each exhibitor will be provided with a clothed table and two chairs unless requested otherwise.  

Please note that the venue cannot be held responsible for any items of your own equipment / hardware you may choose to use during your event.  

If you would like to order additional AV equipment from the venue, such as TV monitors, please see the attached form.  

Please be aware that all additional equipment must fit within the stand space you have been allocated, otherwise you will be asked to remove it. 

 

Setting up and dismantling 

You may set up your stand between 14.00 and 18.00 on Wednesday 26th June or 07:00 and 08:00 (prior to registration) on the day of the event.  Exhibitors are responsible for setting up their own stands and will not be allowed to erect any stands once delegates start to arrive at 08:15. Please note that any additional people coming to set up your stand need to leave before registration begins at 08:15.  

Please dismantle your stand between 16.15 and 16:45 but do not attempt to dismantle it whilst delegates are still in the exhibition area. All stands must be dismantled by the specified time. Boxes should be left on the table so they can be moved to the loading bay for collection. Please note items left behind need to be clearly labelled with the collection note attached. Any items not collected within a week after the conference will be disposed of by the venue.  

CFG does not hold any liability for items lost or left behind by the exhibitor.  

 

A few hints and tips from us for the staff manning your stand 

Some of this may sound obvious, but we want your organisation to get the best from the day! 

  • Attend the sessions throughout the day so that you can discuss the key issues with delegates at the breaks. 
  • Try to avoid standing behind your table – we have found that the exhibitors who mingle amongst delegates during the breaks tend to have a more fruitful day. 
  • Use the opportunity to raise the profile of your brand and stand out from the others by making your stand look as interesting and appealing as possible. 
  • If you do need to work on laptops or phones try and do this discreetly and out of sight of the delegates and ensure that at least one of you is available for the delegates during break times.  

 

Raise your profile presence with your clients 

We encourage you to let your clients know that you are involved in CFG events – please do make use of the engagement pack designed for you to promote the event and engage with your network and wider audiences. We can also supply a PDF of the conference brochure. Leading up to and throughout the event we will be tweeting with the hashtag #CFGAnnualConference – join the conversation!
