Exhibit at Annual Conference 2025

 

We are hosting this year's Annual Conference at a new venue to accommodate increased attendance from the sector. 

The new venue is: Convene Sancroft, Rose Street, Paternoster Square, London, EC4M 7DQ. 

The important bits (ahead of the conference)

  • There is must-read information throughout, so please read through the whole page
  • Please notify CFG if either of your exhibitor pass holders would like to attend any conference sessions, or if you require additional tickets  
  • Please do make use of the Exhibitor Engagement Pack to help promote the event and your presence at the conference which can be downloaded here.
  • Exhibitors are limited to 2 staff members at any one time, this is due to venue capacity and health and safety   

 

Quick glance information 

  • The event will be hosted at Convene Sancroft, Rose Street, Paternoster Square, London, EC4M 7DQ 
  • Stand set-up time is from 07:00 – 08:00 on the day and dismantle time is from 16:20 – 17:00 
  • Alternatively, exhibitors are able to assemble their stands on the evening before the event, which CFG strongly recommends. This information will be given to us by the venue 10 days before the event, and is at the discretion of the venue
  • There is limited storage space at the venue. One medium-sized box can be stored in a storage cupboard, but all other boxes and materials will need to be stored under your table.    

 

Your exhibition package includes 

  • Stand space: 3m wide x 2m deep x 2.9m high 
  • Table space:180cm (L) x 72cm (H) x 60cm (W)  
  • Up to a maximum of 2 staff on your stand at any one time. Pass holders are very welcome to attend any conference sessions during the day if there is enough capacity. Additional tickets are available at the CFG Exhibitor rate and can be booked by emailing us. Exhibitor tickets are available at £480, compared to the full corporate member rate of £543. For non-members, exhibitor tickets are available at £599, compared to the full rate of £999.  
  • Complimentary tea, coffee & lunch for the 2 exhibitor pass holders. Catering throughout the day will be in the same areas as the exhibition, ensuring delegates will be near your stand during all breakout times. 
  • Opportunity to join all exhibitors at the drinks reception after the conference.  
  • Logo and listing on the CFG Annual Conference App.

  

CFG Privacy Policy – Contacting delegates 

While CFG will share a delegate list with exhibitors, the list will not contain any contact details, and said list cannot be used for marketing purposes. CFG will under no circumstances be able to share a delegate list which includes delegate contact details.

We strongly encourage our exhibitors to utilise the CrowdComms app which will contain networking features, as well as the ability to scan attendees QR codes (available on their physical registration badge on the day, and a QR code on their app). This will constitute as that person voluntarily sharing their information with you. We will share more information on the app closer to the time.  

 

Advertising 

We will include all exhibitors’ names and logos on the CFG Annual Conference App.   

There is an option at cost to include items in the CFG welcome packs. We are expecting to make 700 welcome packs for our attendees which will be given out freely on the day. All items to be included in this pack will need to arrive at the CFG offices by Friday 20 June at the latest. Anything arriving at the office after this day cannot be included in the welcome packs.

Delegate pack 

CFG has continued to go paperless with its delegate pack for the 2025 Annual Conference, to combat wasted paper and to help delegates engage with the day. Instead, we will use a new app called Crowdcomms. We will send further information on the app shortly, but this app will be used to hold all conference information, as well as key networking and information sharing opportunities.

 

CFG App 

CFG will be using a new app at this year’s Conference. Please share your app contact with us in the “Exhibitor Guidelines” form that you have been emailed. This person will be responsible for populating the app once it has been launched.  

We will share details of the new app with you by email shortly, which will include set up information.

Floorplan

We have a list of your booth numbers available here. The Annual Conference floor plan will be available on the app, which will contain your booth numbers as well as display your position within the exhibition hall. 

 

Deliveries 

Please see the instructions from the venue here, which includes delivery and collection labels. Please clearly label your items for both delivery and pick up!

Please note that this section is on behalf of the venue. CFG cannot manage deliveries and collections on an exhibitors behalf.

All deliveries must come through the loading bay (not the main Rose Street entrance). Deliveries sent to reception will be rejected.

Delivery Window:

  • Small items: Accepted Mon–Fri, 9am–5pm, up to two working days before the event day
  • Collections: Must be arranged for the next working day after the event, between 10am–5pm.
  • Large items (e.g. AV/furniture): Must be delivered/collected within your tenancy times.

All couriers must be arranged by the exhibitor, and booked in advance with the venue HOPs: ama.lawrence@convene.com. Convene will not manage courier bookings.

To book your courier slot, please email at least one week in advance. More information is in the exhibitor pack above.

 

Exhibition space 

Each exhibitor will be provided with a  table and two chairs unless requested otherwise.  Please note, the venue does not provides table cloths, please feel free to bring your own.

Please note that CFG or the venue cannot be held responsible for any items of your own equipment or hardware you may choose to use during your event.   

If you would like to order additional AV equipment from the venue, such as TV monitors, please see the attached form, and return it to events@cfg.org.uk.  

Please be aware that all additional equipment must fit within the stand space you have been allocated, otherwise you will be asked to remove it. 

 

Setting up and dismantling 

Booths can be set up between:

  • On the day - between 07:00 and 08:00
  • The day before - This will be confirmed by the venue 10 days before the event, and we will send the information you as shortly after. The times given to us are at the discretion of the venue

All stands and exhibitors should be set up and checked in by 08:15 in preparation for the opening of the conference doors to attendees. 

Booth should be dismantled between:

  • 16:20 - 17:00 on the day
  • Please do not begin booth take down until all attendees are out of the exhibition hall and in the final session

All stands must be dismantled by the specified time. Boxes should be left on the table so they can be moved to the loading bay for collection. Please note items left behind need to be clearly labelled with the collection note attached. Any items not collected within a week after the conference will be disposed of by the venue.   

CFG does not hold any liability for items lost or left behind by the exhibitor.  

 

A few hints and tips from us for the staff manning your stand 

Some of this may sound obvious, but we want your organisation to get the best from the day!  

  • Attend the sessions throughout the day so that you can discuss the key issues with delegates at the breaks.  
  • Try to avoid standing behind your table – we have found that the exhibitors who mingle amongst delegates during the breaks tend to have a more fruitful day.  
  • Use the opportunity to raise the profile of your brand and stand out from the others by making your stand look as interesting and appealing as possible.  
  • If you do need to work on laptops or phones try and do this discreetly and out of sight of the delegates and ensure that at least one of you is available for the delegates during break times.   

 

Raise your profile presence with your clients 

We encourage you to let your clients know that you are involved in CFG events – please do make use of the engagement pack designed for you to promote the event and engage with your network and wider audiences. Leading up to and throughout the event we will be tweeting with the hashtag #CFGAnnualConference – join the conversation!
